Events Associate
ABOUT TINA’S WISH
Know Early. Know Hope.® This is the mission of Tina’s Wish, a non-profit organization dedicated to funding groundbreaking scientific research for the early detection and prevention of ovarian cancer and providing critical gynecologic health education. Tina’s Wish was founded in memory of the Honorable Tina Brozman, former chief judge of the SDNY Bankruptcy Court who died two years after she was diagnosed — too late — with ovarian cancer. Since its inception in 2007, Tina’s Wish has raised more than $34 million and is currently awarding $2.4 million annually in private grants for cutting-edge research. With its education and awareness platform, What to Know Down Below®, Tina’s Wish provides vital resources, support, and information to help increase awareness about ovarian cancer and other gynecologic health topics to empower individuals.
ABOUT THE ROLE
Tina’s Wish is seeking an Events Associate to join a team that plans and executes a robust portfolio of fundraising and cultivation events annually. This position will be an integral part of a dynamic and fast-paced development team producing special events in NYC, Boston, Richmond, Los Angeles, Chicago, and Houston.
The role demands both sides of the events craft. It calls for the tactical rigor to run a complex event portfolio, including timelines, vendors, budgets, logistics, flawless day-of execution, and the operational backbone that keeps it all connected (guest data, RSVPs, website updates, post-event reconciliation). It also calls for the creative instinct to shape how each event feels for donors, from the arc of the evening to the small touches that make guests feel personally valued.
This role also serves as a key liaison to our volunteer event committees, partnering with accomplished leaders and providing them with the tools, resources, and support they need to successfully fundraise, cultivate new relationships, and expand the Tina’s Wish reach. The ideal candidate is polished, responsive, and highly professional, with the ability to take initiative, build trust, communicate confidently, and represent the foundation with warmth and credibility.
This is an exciting opportunity for someone with a background in nonprofit fundraising events who has a demonstrated track record of flawless execution, cares deeply about the design of a donor experience, brings warmth to relationships with donors and volunteer leaders, and is ready to help a rapidly growing foundation deepen its relationships with its community.
RESPONSIBILITIES
- Event Planning: Own the planning and execution of assigned fundraising and cultivation events end-to-end and support the senior team on the Foundation’s larger events. Drive each event within the Foundation’s overall direction, with the creative instincts to design compelling donor moments and the attention to detail to execute them flawlessly.
- Event Execution & On-Site Leadership: Manage the run-up to each event by tracking deliverables against timelines, coordinating with vendors and internal stakeholders, and keeping multiple workstreams on schedule. Anticipate needs and address them proactively to ensure smooth execution. On event day, serve as a key on-site presence: running registration, guiding volunteers, and owning the logistics that make each event feel seamless to donors, from invitation lists and seating to vendor coordination and run-of-show.
- Operational Support & Reporting: Own the operational backbone of the events function – maintaining accurate guest and donor data, updating event-related pages on the Foundation’s website, tracking RSVPs and attendance, and completing post-event reconciliation of revenue, expenses, and attendance data. Prepare summary reports for the senior team to inform planning for future events.
- Donor Relations: Support donor stewardship in connection with special events, working alongside the event coordinators and database team. Track progress against annual and event-specific fundraising goals, oversee donor acknowledgments, and partner with Event Committees to help drive fundraising success.
- Fundraising Campaigns: Manage the execution of event-related fundraising campaigns, from donor outreach and invitation cycles through post-event follow-up. Draft and refine materials in the Foundation’s voice, and ensure each touchpoint reflects the quality of the donor experience. Partner closely with Event Committees to align on outreach strategy, engage their networks, and support their fundraising goals.
- Ambassadorship: Develop a deep understanding of the Tina’s Wish mission and community and work closely with the team to strengthen relationships with board members, donors, and prospects.
REQUIRED SKILLS AND EXPERIENCE
- Bachelor’s Degree
- 3-5 years of professional experience planning and executing fundraising events in the not-for-profit sector. Events experience outside of nonprofit fundraising (e.g., corporate events, hospitality, or agency work) is not a substitute.
- Demonstrated hands-on event planning skills across the full event lifecycle: venue and vendor management, budgets and timelines, invitations and registration, run-of-show, on-site execution, and post-event follow-up.
- Direct donor-facing experience, with the poise and judgment to represent an organization to donors, board members, and event committees, in writing and in person.
- Strong project management skills: able to juggle multiple events at different stages, adhere to a detailed timeline, and stay calm and organized when things move quickly.
- Proficiency with Microsoft Office Suite and a donor management system (eTapestry or comparable). Familiarity with Canva is a plus.
- Genuine commitment to the Tina’s Wish mission.
POLICIES AND SCHEDULE
- The Tina’s Wish team works on a hybrid schedule; typically two (2) days per week in our NYC office.
- Staff are expected to be available during Tina’s Wish normal hours of operation, Monday to Friday from 9am–5pm ET, with periodic additional time required for in-person events and to meet project deliverables and deadlines. Flexibility for periodic early morning and evening commitments is expected.
- Domestic travel for events 2–4 times per year.
- Hands-on involvement in execution of event setup.
WHAT WE OFFER
