Know Early. Know Hope.® This is the mission of Tina’s Wish, a non-profit organization dedicated to funding groundbreaking scientific research for the early detection and prevention of ovarian cancer. Tina’s Wish was founded in memory of the Honorable Tina Brozman, former chief judge of the SDNY Bankruptcy Court who died two years after she was diagnosed – too late – with ovarian cancer. Since its inception in 2008, Tina’s Wish has raised more than $27 million and is currently awarding $2.4 million annually in private grants for cutting-edge research. With its education and awareness platform, Tina’s Wish provides vital resources, support, and information to help increase awareness about ovarian cancer and empower individuals to take proactive steps in their health and well-being.
ABOUT THE ROLE
Tina’s Wish is seeking a detail-oriented and proactive Events Coordinator to support a team that executes a robust portfolio of fundraising and cultivation events annually. This position will be an integral part of a dynamic and fast-paced development team that plans and executes a range of special events in NYC, Boston, Richmond, Los Angeles, Chicago, and Washington, D.C. This position will focus on coordinating logistics for various events, ensuring smooth execution, and providing support for ongoing initiatives. In addition, this position will be responsible for coordinating multiple lunch and learns, committee kick-offs and lab tours throughout the year. The ideal candidate will have excellent organizational skills, a strong ability to multitask, and a passion for contributing to our mission through event coordination. This is an exciting opportunity for an individual looking for hands-on experience in a rapidly growing nonprofit by supporting the Foundation’s daily activities, fundraising events, and special projects. Strong performance in the Events Coordinator role may lead to opportunities as an Events Associate at Tina’s Wish.
Key Responsibilities:
Event Logistics and Coordination:
- Event Coordination: Assist in the planning and execution of major events, including coordination of logistics, travel, guest lists, gifts, and event materials; primary lead for organizing committee kick-offs and lab tours events.
- Lunch & Learn Events: Coordinate all logistics including tech tests, preparing event materials, and liaising with key contacts to ensure seamless event execution
Administrative and Financial Support:
- Accounting Support: Prepare and submit regular expense reports for the executive director, coordinate invoice processing, track and deposit incoming funds, log payments from external platforms such as Benevity and RenGiving into eTapestry, download and send monthly financial reports to external bookkeeping team
- Scheduling: Coordinate and manage the scheduling of Board of Directors and Scientific Advisory Board meetings, ensuring all participants are informed and prepared
- Thank You Cards & Tributes: Coordinate the sending of personalized thank you cards, creative tributes, gifts, and acknowledgments to donors, sponsors, and volunteers
- Acknowledgement Letters/Tax Receipts: Ensure that all donations receive timely acknowledgment letters and tax receipts, maintaining compliance and donor satisfaction
- Support Executive Director: work directly with the Executive Director on special projects
REQUIRED SKILLS AND EXPERIENCE
- Bachelor’s Degree
- 0-1 year of relevant work experience in the not-for-profit sector (substantial volunteer or internship experience involving event planning can substitute for full-time work experience)
- Strong interpersonal communications skills (verbal, presentation, and written)
- Exceptional time management skills, strong attention to detail, and positive orientation to problem solving, strong ability to multi-task
- Exemplary capacity to maintain confidentiality and discretion
- A track record for going the extra mile, consistently taking initiative, thinking ahead, and demonstrating extra effort to exceed expectations
- Proficiency with Microsoft Office Suite including Outlook, Word, Excel, and Powerpoint
- Enthusiasm and commitment to the Tina’s Wish mission and the passion to inspire action and engagement among our supporters
- Knowledge of the following systems is a plus but not required (please indicate your knowledge/familiarity/proficiency of the following systems in your cover letter): eTapestry, Constant Contact, WordPress, Canva
POLICIES AND SALARY RANGE
- The Tina’s Wish team works on a hybrid schedule; typically two (2) days per week in our NYC office
- Staff are expected to be available during Tina’s Wish normal hours of operation, Monday to Friday from 9am-5pm EST; periodic additional time required for in-person events and to meet project deliverables and deadlines; flexibility for periodic early morning and evening commitments
- Hands-on involvement in execution of NYC events
